Tekmetric changed the look and I hate ithttps://www.autoshopowner.com/forums/topic/19384-tekmetric-changed-the-look-and-i-hate-it/ Tekmetric re-designed the appearance and I can not stand it. I refuse to pay $399 a month for software that gives me a headache to look at. Anyone have a good alternative to tekmetric with all the same functionality that either has a tiered pricing schedule that makes sense for smaller shops, or is less then $399 a month, or looks like tekmetric used to and costs about the same?

 

The only integrations I use from tekmetric are parts ordering and the built in labor catalog, I do not use any of the marketing features so those are not important to me.

Anyone using Shop-Ware or Shopmonkey shop management software?https://www.autoshopowner.com/forums/topic/19265-anyone-using-shop-ware-or-shopmonkey-shop-management-software/ Interested to hear how you like these systems and also how you're using third party integrations and/or Zapier as a bridge to external systems. 

We have an integration with Shop-Ware in development and are scoping an integration with Shopmonkey. At present our Buy Now Pay Later product allows you to generate an invoice with a web form. After we onboard the customer and wire payment to you the next day, you have to manually mark the RO as paid. An integration eliminates most of the manual work. You just select an RO and we can do the rest behind the scenes -- pull in relevant customer and job info, notify the customer, and then mark the RO as paid when funds transfer to you is complete.

Looking for any insight or feedback from folks on how easy (or difficult) your experience has been bridging your SMS with external systems, and if there are specific things that would make these integrations work more smoothly for you.

Management Software - My take on what I see today.https://www.autoshopowner.com/forums/topic/19064-management-software-my-take-on-what-i-see-today/ While at the Ratchet and Wrench Management Conference, I was able to review most of the management software packages available.   I have a few observations to share that might be helpful.   Each software package has its own pluses and minuses, but, I see some high-level commonalities amongst them.

At a high level, you can separate software packages into two groups based on age.    The longer a software package has been available, the more likely that many of its features are highly refined and give you the most controls.   The disadvantage of an older software package is that they are too busy keeping their customer base happy with fixes and minor features that they don't have time to take the leap of innovation (e.g. DVI).   If the platform is really old and/or they are not charging enough money monthly to have the revenue to hire a good team, they may not be able to completely rewrite their software to utilize newer technology features.  For these software packages, you are forced to change vendors to adopt new the new features.   On the other hand, if the software package is new, they go straight for the snazzy features and also, try to fix the perceived problems of the legacy software packages.   They excel in the basics, but lack the depth of feature functionality that only time brings.     Mind you, both types of companies are trying to reach feature parity.  New companies need to flush out features, adding complexity and older companies are working to build the snazzy features.    Both of these take time.

For the record, I'm using Protractor.    I can tell you all of the good and bad of this package.   I used my in-depth knowledge of this program to compare it to the newer packages.   In other forums, the two main contenders for new appear to be:

  • TekMetric
  • ShopWare
  • Other New:
    • Shop Monkey
    • AutoLeap
  • Older More Mature Systems:
    • Protractor
    • Mitchell (I didn't look at this one)
    • NapaTracs (I didn't look at this one)
    • Many others not at this show

I liked the snazzy new features that I saw in each new package, but quickly recognized that in my daily use, I'm using certain mature features that are not present in the new packages.

Another observation is that each software package somewhat enforces a workflow methodology.  You can choose to fight their internal structures (and lose), or go with their model.   I noticed a few idiosyncrasies, but, they are all trending towards a seemingly similar workflow.   This requires scrutiny when selecting a software package.  The new guys are often pushing their "better way" as a solution to the problems of old.  For instance, ShopWare had a unique approach to canned jobs that deserves investigation that I didn't notice in other packages.  

So, when shopping, make note of the real features that you must have.  Don't be fooled by the shiny new outer skin.  Balance it with your real needs.

I do see that some of these new contenders are investing much money into development of new features, so over time, they will likely build the feature that you need today.   As well, some mature packages are investing in the future. 

I will say this loudly.   Your software vendor must be charging you healthy monthly fees to have the money necessary to continue to innovate.  If you gravitate to the lowest price, features could take longer or never come.   Just like us, we must first survive before we can do good work and be able to pay the bills.

MaxxTraxx Pro - Anybody Using it? - Pros and Conshttps://www.autoshopowner.com/forums/topic/11579-maxxtraxx-pro-anybody-using-it-pros-and-cons/We have been a long time user of RO Writer (10+ years) but feel it is somewhat behind the times when it come to features. We are also using AutoVitals on top of it which we absolutely love. We have been using it for a little over 2 years. Along with that we are using The Back Office for our Quickbooks interrogation. We also use an outside payroll processor to handle all benefits, payroll and retirement. I used to handle all this through Quickbooks and chose to outsource a couple of years ago to reduce some of the administrative burdens of dealing with healthcare, 401K etc..

 

Based upon my managers and AutoVitals conversations, ROWriter is becoming difficult to work with regarding the latest updates.

I am really looking for a fully integrated product, preferably web-based solution. We are currently evaluating a demo version of MaxxTraxx. I really want something I can look at remotely without having to dial into the onsite server. I am a hands off owner and don't get involved in day to day operations but I look at numbers and stats daily. It also needs to support multiple locations.

 

Any input or recommendations would be appreciated. We are not taking this lightly as we know its a lot of work to convert as we just went through this last year in our bodyshop.

Do I Need a Shop Management Program?https://www.autoshopowner.com/forums/topic/16875-do-i-need-a-shop-management-program/ Hey guys looking for a little advise for people that have been in my situation. We are a smaller shop but really starting to transition to doing more volume in the past 2 years. Been in business for 10 years now and currently have 2 full time tech's and myself. I manage most of the office and service writing stuff and even occasionally help wrench in the back when required. Looking to hire a service advisor soon to help with the work load on the counter.

 

Currently we just use a a mix of excel spreadsheets for invoicing and customer history, as well as Google calendar. My questions is will I see a big benefit from moving to a all in one management program? Is it worth the monthly fee's for a smaller outfit like mine? 

 

Should mention we are in the powersports arena (mostly boat repair with some other rec equipment) so some of the platforms out there are not 100% tailored to our industry with the ones that are not offering up everything you would get out of a automotive program. Thanks in advance for the help!

They are the leader in the market (auto repair shop management software) and arguably the biggest company however move at a snail's pace when it comes to making any sort of productivity or efficiency changes. They know they have a lock on their subscribers so they are just milking the cows for all they are worth. Even through that annoyance the most annoying thing is their billing department. I have heard horror stories from others but from my experience they are absolutely garbage. I had a QB integrator on the account that I had tried to cancel multiple times. I kept on getting billed for it even though it showed in their records that I had cancelled months prior. 

I can't wait to move on from these turds.

I was recently having a conversation over lunch with a college buddy of mine who has a PhD in computer science and owns a web development company we were casually talking about business etc and started discussing websites and ROI. This got me thinking about my shops site and how efficient we are in tracking the ROI. We currently use Autoshop solutions (were with them before he started the web company but plan on switching) and pay about $190 a month in web maintenance fees with includes updates, hosting and a portal to login to track views etc but it made me start wondering if I really knew the true ROI of my website. Every month I look at the numbers and the reports and see bounce rate, time per page etc but never really have sat to think what that really means and if my website is serving its purpose (to capture the attention of and bring in new customers). On top of that we have our adwords budget and all in all I feel like we are just throwing money out there hoping it will stick and assuming that the site is making us money.

 

So my question is how is everyone else tracking the ROI of their website?

 

Also, if you don't mind my asking, what is the typical amount (or rough estimate) you pay monthly for web maintenance (if you have it) and do you feel like you are getting your money's worth from your hosting company? My buddy has offered me an opportunity to come into his business (I have a background in IT as well) and to offer some insight in capturing some business from the automotive industry but I just wanted to get a feel for the problems which you guys are facing today to see if I am the only one with these questions and issues or if this could be an industry issue worth pursuing.

Migrating from Bay-master to Other SMShttps://www.autoshopowner.com/forums/topic/13923-migrating-from-bay-master-to-other-sms/ I've been running Baymaster for 25 years, but it seems I"m going to have to make a move.  We want to bring digital inspections on line, along with all the photo reporting and easy customer contact that goes with it.  I don't think Baymaster is going to come out with anything in the near future, so I'm contemplating changing my management software.  Has anyone had experience migrating from Baymaster to say Autovitals or Bolton?

Mitchell1 Bad Debt Best Practices (and Other General Advice)https://www.autoshopowner.com/forums/topic/13794-mitchell1-bad-debt-best-practices-and-other-general-advice/ Hello,

I am trying to get some real-world perspective on using the Mitchell 1 system. Specifically, I am trying to account for bad debt, but setting it up as a payment type doesn't seem to be a good idea because it shows in my Revenue reporting as a taxable sale. Is there any way to adjust this or is their a best practice for tracking bad debt?

On another note, I would love to be able to chat with someone who has used this system for years and is willing to share some of their best practices in general. Let me know if you might be open to starting a dialogue.

Wondering if anyone is using this software or demoed it? I reached out to them a few months ago to see the software, had a very poor interaction with the representative I dealt with. I still haven't found the software that works best for me so I'm still evaluating packages. I'm thinking about reaching out again and hope my experience was just a bad apple and not representative to the company as a whole. Wondering if anyone else here has any experience with them

  • Omnique: I hear a lot of good things about it but looks like you need to pay for their most expensive package $400/mo to get QB integration. 
  • Shop Boss: looks really affordable with the features that it comes with ($99/mo comes with QB int). This is my favorite one so far. Does anyone use this?

It's 100% free web- and cloud-based shop management software that seems to have a lot of features included.

There is a robust series of videos on their website demonstrating everything it does.

 

As far as I can tell, the biggest thing it doesn't do is integrate with parts suppliers or labor guides.

However, if you're willing to do the legwork, the price is right on this software.

It might be a better alternative to using Quickbooks premium as a low-cost solution for a struggling or new shop?

 

As a future shop owner (hopefully), I've toyed around with it a bit, not enough to make any decisions, I've just played on the demo account a bit to see what it looks and feels like.

It might be a good way to get things off the ground and making money, then being able to afford one of the more expensive shop management software suites within the first year or two, instead of a huge investment before making any profits?

I was hoping that someone actually uses it in their current business and has an opinion to voice.

Shop management software in a 2018 worldhttps://www.autoshopowner.com/forums/topic/13525-shop-management-software-in-a-2018-world/ So I started a new venture and I need some new shop management software. I have a new venture where I have moved to a lower volume, high margin operation where we offer primarily concierge service to high end customers with high end vehicles. As such my current needs are very mobile, I've been doing some research, but I though I'd post up here for some additional input. What I need is an entirely mobile platform. This sticks me with SAAS based products which is fine. Finally mobile data is plentiful in all the areas I operate in. Many of the web based services out there are still designed for desktop use, and although they are mobile in a sense, they are not truly do business anywhere solutions. I need to be able to book appointments, see service history, attachments to ROs (like photos), check recommendations, start new ROs with customer complaints, accept signatures all from a mobile phone. I could live with an iPad if needed, but the phone is most ideal.

The software must have what are now a days standard features (or should be)

  1. Scheduling app with integration to previous recommendations/estimates in the booking interface
    1. This should also have some CRM features such as customer reminder notifications, would be great to have multiple contacts notified as often there is a groundskeeper or administrative assistant that we are dealing with as well
  2. RO management that includes technician notes, photos attachments, service recommendations and job status (linked to procurement management when parts need ordering)
  3. Ability to link service recommendations to estimates and easily turn them into new ROs  
  4. Inventory management,
    1. supply chain integration is nice, procurement management for tracking when and where all the parts are coming from
  5. VIN or Plate scanning via mobile camera to start new ROs or estimates with your now common carfax VIN lookup and service history

Basically I need all the points of interaction with the customer to be completely mobile, they will not happen in the shop (usually), the RO processing itself can/will happen on a larger device such as desktop or tablet in the shop.

Is anyone working with a company that has this level of mobility yet? My research shows that many of the companies that have long been players in this industry are very slow to adopt this new way of thinking, there are a lot of new names out there though!

 

While I'm thinking about next level software, the software companies that know how be be ahead of the curve will soon start integrating calibration data VIA J2534 attached to the vehicle record and cross link to manufacturer databases for recommended updates. This will become increasingly important as more and more vehicles integrate complex self driving, in car entertainment and safety features that will require updating. Automatically notify technician of TSBs related to a vehicle and include other data integration features like this.

We've been running adds for months, (AdWords, facebook, monster and many other sites) and just can't find quality candidates! I was thinking it was just us, be it the shop, methods or maybe am unsaid reputation but I've been talking to other shops and folks who frequent other shops (tool dealers, part suppliers etc) and they say everyone in a 100 mile radius is hiring but can't find help.

Any insight? Are we alone in this?

Tire DOT registration - CIMShttps://www.autoshopowner.com/forums/topic/13372-tire-dot-registration-cims/ We submit all DOT registration information to the manufacturers via the internet for all tires that we sell rather than leave it up to our customers. Presently my wife goes to each manufacturers reporting site and enters all the required information. Some manufacturers have terrible sites that fail to indicate if the submission was successful or not. Does anyone use a central submission company like CIMS for DOT registration? I completed the CIMS on-line application form but they fail to call me back with required log in information. I have called them numerous times but still nothing. Are there any other central submission companies that I could contact?
